Best appointment booking tools for B2B services, and where each one breaks

Consultancies, agencies and professional firms book differently from salons. Six tools judged on the parts that matter when the meeting is with a company, not a walk-in.

Booking a haircut and booking a discovery call look similar and behave nothing alike. A B2B meeting often involves several people on your side, a lead who needs qualifying before they reach a calendar, a CRM record that must not be orphaned, and a time zone problem. Tools built for salon storefronts solve none of that, and tools built for meetings solve little else.

Prices below were read from each vendor's own pricing page on 3 September 2026 and are the entry paid tier unless stated. Confirm before committing; vendors change pricing without notice.

What makes B2B booking different?

B2B booking has to route, not just reserve. A prospect filling in a form should reach the right person, on the right team, with the meeting recorded against the right account — reservation is the last step of that chain, not the whole job.

Round-robin distribution matters once more than one person can take the meeting. Without it, a single calendar becomes the bottleneck and inbound leads wait days for a slot that a colleague had free.

Time zones cause more silent failures than any other factor. A prospect in another country who books what they read as 10:00 and arrives to an empty room usually does not rebook, and the meeting is recorded as a no-show rather than a bug.

Which tool fits a B2B services firm best?

Calendly fits most B2B services firms, because routing, round-robin and CRM handoff are the core of the product rather than additions to it. Salesforce, HubSpot and Marketo connections exist on its paid tiers, and lead qualification before scheduling is built in.

Firms with a single practitioner and heavy intake requirements are the exception. A solo consultant who needs long custom forms, packages and prepayment will find Acuity's per-appointment configuration deeper than Calendly's.

Firms outside the meeting-scheduling shape — a training company booking cohorts, an agency renting studio time — should read the class and resource section below rather than either of those.

What do the B2B-capable tools cost?

Per-seat pricing dominates this category, which changes the arithmetic once a team grows. A five-person sales team pays five times, where a salon tool would charge once for the business.

ToolEntry paid tierTeam tierRound-robinCRM connections
Calendly$10/seat/month (Standard)$16/seat/month (Teams)Teams tierHubSpot, Mailchimp on Standard; Salesforce, Marketo, Pardot on Teams
Acuity$16/month (Starter, 1 calendar)$27/month (Standard, 6 calendars)Not the product's focusLimited
SimplyBook.me€11.90/month (Basic, 5 providers)€24.90/month (Standard, 15 providers)Provider-based, not lead routingVia custom features
SuperSaaS$9/month (Plan 1)Same, scales on appointmentsNot lead routingLimited
eSeans₺499/month (Temel, 3 calendars)₺999/month (Profesyonel, 10 calendars)Staff calendars, not lead routingNot built for CRM handoff

Calendly's Enterprise tier starts at $15,000/year with a fifty-seat minimum, quoted in USD only. Firms below that size will not encounter it, but anyone planning around enterprise features should know where the step is.

When is Calendly the right choice for B2B?

Choose Calendly when inbound leads need to reach a calendar quickly and land in a CRM without manual copying. Round-robin on the Teams tier spreads meetings across a group, and routing forms qualify a lead before offering a slot, which keeps unqualified traffic off the calendar.

Per-seat pricing is the constraint to model before signing. A twelve-person team on the Teams tier costs meaningfully more per year than a flat-rate tool, and that gap widens as headcount grows rather than as bookings grow.

When is Acuity the right choice for B2B?

Choose Acuity when a single practitioner sells structured, prepaid engagements. Intake forms, packages, memberships and gift certificates are handled thoroughly, and the Premium tier's HIPAA option matters for US healthcare consulting.

Acuity's ceiling for team routing arrives early. A firm that needs leads distributed across several people will be working against the product rather than with it, and should treat Acuity as a solo tool.

When is SimplyBook.me the right choice for B2B?

Choose SimplyBook.me when your requirement is specific and unusual enough that the custom-feature model pays off. The product exposes features as modules you switch on, so a firm needing something narrow can often assemble it without custom development.

Booking caps deserve attention before the feature list does. The Basic tier stops at 100 bookings a month and Standard at 500, so a firm running high-volume short calls should price a tier above the one that looks correct.

When is SuperSaaS the right choice for B2B?

Choose SuperSaaS when you are booking a resource rather than a person — a meeting room, a piece of equipment, a training space. Pricing scales on future appointments rather than seats, so a business with many bookings and few staff pays less than a per-seat model would charge.

Lead routing and CRM handoff are absent. A sales team evaluating SuperSaaS is evaluating the wrong product, however well it handles capacity.

When is eSeans the right choice for B2B?

Choose eSeans when your B2B work happens in Turkey, in Turkish, with clients who answer WhatsApp rather than email. A consultant, accountant or clinic serving Turkish businesses gets WhatsApp reminders, deposits and staff calendars priced in lira, which removes both a currency and a language problem.

eSeans is the wrong choice for classic sales-team scheduling, and pretending otherwise would waste your evaluation time. Lead routing, round-robin distribution and Salesforce handoff are not part of the product. A firm whose booking flow starts at a CRM record should use Calendly.

The free tier covers 40 appointments a month with a booking page and email reminders, which is enough to test whether Turkish clients actually book online before any money changes hands.

What breaks first as a firm grows?

Per-seat pricing breaks first, because it scales with headcount rather than with revenue. A firm that doubles its team without doubling its meetings pays twice as much for the same volume of booking.

Time zone handling breaks second, usually at the first international client. Confirm how a tool displays times to an invitee abroad by sending yourself a link and opening it with your machine set to another zone.

Data export breaks last and hurts most. A firm two years into a tool with no clean export path is not choosing between products any more, it is choosing whether to abandon its history.

How were these compared?

Each figure here was read from the vendor's own pricing page on 3 September 2026, not lifted from another comparison article, because second-hand pricing goes stale silently and repeating it spreads the mistake.

Claims about eSeans describe capabilities that exist in the product today. Where eSeans does not compete — lead routing, CRM handoff, per-seat team scheduling — the article says so rather than reframing the gap as a design choice.
